How to write academically: tone and language

Academic writing is not about sounding complex, it’s about communicating ideas clearly, precisely, and appropriately for a professional audience. Writing academically allows you to demonstrate understanding, apply knowledge, and present information in a way that is credible and aligned with professional standards.

Consistency is another key feature. Switching between informal and formal language, or between general and clinical terms, makes writing feel disjointed. Maintaining a steady tone helps create a more cohesive and professional piece of work, and makes it easier for the reader to follow your argument.

At the same time, clarity should always come first. Trying too hard to sound academic often leads to overly long sentences, unnecessary jargon, or awkward phrasing. Strong academic writing is not about complexity, it is about control. It explains ideas in a way that is both accurate and easy to understand.

In practice

The difference between informal and academic writing is often most obvious in how ideas are expressed. A sentence like “the patient wasn’t doing well and things got worse” is vague and lacks detail. It does not tell the reader what actually changed or why it matters. Rewriting this as “the patient’s condition deteriorated, evidenced by hypotension (a drop in blood pressure) and tachycardia (increasing heart rate)” provides a clear, clinically relevant explanation.

The same applies to terminology. Describing a wound as “infected” does not communicate meaningful information. A more appropriate academic description would refer to specific features such as inflammation, erythema, delayed healing, or identifying specific signs of infection. This level of detail improves both clarity and credibility.

Small shifts in phrasing can also strengthen tone. Expressions like “a really important point is” or “this shows that” can be refined to “this is significant because” or “this demonstrates”. These changes do not make the writing more complicated, but they do make it more controlled and professional.

Focusing on clarity, precision, and appropriate terminology allows you to communicate your ideas effectively while maintaining an academic tone. This is what supports strong writing and demonstrates a clear understanding of the content.
